The order book — the order book, from the CRM spine (deal facts edited in Zoho CRM; the Budget Manager sheet was retired and frozen 31 Aug 2026 — D-F17). ONE probability: the deal’s Probability in the CRM (Board Probability retired 2 Sep 2026 — D-F19). Cost & margin come from Simpro — the job for signed deals, the quote the deal is priced on (CRM “Simpro Quote ID”) for pipeline deals; no Simpro link = margin blank, flagged. Click a column header to sort; click a deal for its schedule & order-book note; ↗ opens the deal in Zoho CRM.
The financial years, separated — P&L (revenue recognised when earned, completion-dated) on top; cash (when money actually moves) beneath; the deferred-income bridge between them. FY = calendar year, ex-VAT.
Why cash ≠ P&L — the deferral machine, live
Per-deal split by FY — how each deal's revenue lands across the years (bold = recognised, “+” = still to come at install, “w” = probability-weighted pipeline). Toggle for the cash view.
Cash in & out by month — ex-VAT. Projections from the per-deal payment schedules; actuals: money in from Xero payments, cost incurred from Simpro (frozen-sheet grid shown for history). Dark/green up = in (solid dark = actual, green = projected); grey/tan down = out. Hover for values.
Month by month — click a month for the per-deal breakdown. “Actual” = received/paid per the frozen sheet's grid (Xero/Simpro-derived actuals replace this at the next engine mode rev — L-F17); “projected” is Ben's forecast.
The Monday cockpit — the weekly finance meeting's 15 standing questions. Green = answered live from the engine; grey = its feed (Simpro / Apron / Xero scheduled tasks) lands at programme row E2.
Why these numbers can be trusted — every figure is computed deterministically and tied to an independent control. Ties that fail are shown, never hidden.
Open flags — tie-or-flag: where a figure cannot be tied it is flagged, never estimated
Register a contractor bill — when a contractor bill (M Support, Core Crew, Peter & Mark…) reaches Apron, register it here. That starts the check: Claude builds the review sheet, ops confirm quantities in the Ops Hub, the priced Simpro entries come back to this bill. Attach the PDF if it did not arrive via bills@.
Contractor bills — checked by the engine against the approved rate card, the Simpro schedule and the site forms; ops confirm quantities in the Ops Hub; finance keys Simpro and publishes Apron→Xero, and records each step here. Claude posts nothing to Simpro or Xero.
Approved rate card — finance-owned (Kimberley has the final say). Current rows only; history is date-versioned in the database. Changes are logged with the approving director.
Float delta
The engine's cash curve runs in parallel against Float — prove-then-absorb. Nothing switches over until Kimberley and Lee consent after 2–3 clean cycles. The automated Float feed lands with the scheduled task set (programme row E2); until then the comparison is run at month-end and reported in the parallel-run pack. The first parallel cycle is the August close (~5–10 Sept).
